Handling work that hasn’t been published yet

Most of what passes through BookMyProof is embargoed: manuscripts that are not out, audiobooks that have not been announced. A leak is not a recoverable event. This page says plainly what happens to your files.

The short version

  • In transit. HTTPS everywhere. Audio is streamed only to a signed-in browser session that owns the title.
  • At rest. Manuscripts and audio are encrypted on disk with AES. The key is held in the server environment rather than alongside the files, so a copied file or a mislaid backup is ciphertext to whoever holds it.
  • Access. A title is visible only to the account that uploaded it. There is no cross-account sharing, no public links, and no default access for anyone else.
  • Retention. You choose how long we keep the audio. 7, 14, 30 or 90 days, or until you delete it. Findings and reports are kept; recordings are removed on schedule or on demand.
  • Record. Every export, deletion and settings change is logged against the title with the account and timestamp, and you can read that log yourself.

Where your manuscript goes

Nowhere. The book text is extracted, indexed and compared entirely on our own servers. It is never sent to any third party, and it is never used to train anything.

Where your audio goes

On a standard account, audio is transcribed using OpenAI’s Whisper API. Data sent to that API is not used to train their models, and is not reviewed by their staff for that purpose. It is the one point where a file leaves our infrastructure, and we would rather say so than bury it.

For an embargoed title, mark it Confidential in the app. Transcription then runs on our own hardware and the audio never leaves our servers at all. If on-premises processing is unavailable for any reason, the job stops, it will never quietly fall back to an outside service.

Deleting things

“Delete audio now” removes every recording for a title immediately while keeping the proof report and the publisher sheet, which is usually what you want the moment a proof is signed off. Deleting the book removes the manuscript, the audio, the transcripts and the findings. Neither is recoverable, which is the point.
